Jump Start Your Career with IAAP

Thank you for the opportunity to serve as the 2007-2008 Kentucky Division President.  It was a very busy and an exciting year. The “Jump Start Your Career with IAAP” theme proved to be a success this year.  All three 2007-2008 Division meetings met our commitment to education and offered recertification points.  At the Leadership Workshop we learned the “Essence of Leadership”, at the Fall Board and Membership Forum we learned “How to Put Spark in Your Presentation” and at the Winter Board and Membership Forum Kay Hays facilitated the “Strategic Planning” workshop. 

The year began in the Fast Lane as I accepted the invitation to install the 2007-2008 Paducah-Kentucky Lake Chapter Officers.  Chapter President, Cristy Poindexter, announced her theme of “Turning Challenges Into Opportunities”.   The Chapter’s Boss of the Year and Member of the Year were also announced during this special event.  I then continued my travels to assist Joyce Jewell CPS, Kentucky Division Secretary, in the installation of the 2007-2008 Blue Grass Chapter officers.  Chapter President, Jacky Ammerman CAP, announced her theme of “Blazing New Trails” and her vision for the year.  This special meeting also included a dinner and tour of the UK Center for Visualization and Virtual Environments. 

Keeping on the Right Track I traveled to Tampa, Florida to attend the 2007 IAAP International Convention and Education Forum July 29 – August 2, 2007.  I attended as Division Delegate along with thirteen other Kentucky Division members.  What an AWESOME event!

In September Buffy Gaddis CPS/CAP, Hopkinsville Chapter President, invited me “On the Road to Success” as she continued her theme at the Chapter’s annual IMPACT meeting.  I presented “Setting the Standards of Excellence” while Wanda Hart CPS/CAP, Kentucky Division Vice President, joined me in the program and gave an “Overview of IAAP”. The meeting was a success with four prospective members in attendance.
 
As I traveled down the Road of Opportunity I participated in the monthly Southeast District conference calls with Tamra Goodall CPS/CAP, Southeast District Director to learn of the association’s activities at Headquarters and throughout the Southeast District. I also took the opportunity to promote IAAP by speaking on the benefits of membership during the National Weather Service’s Conference for Administrative Support Assistants in Kansas City, Missouri November 8, 2007.

More opportunities developed and were realized as members of the Kentucky Division marketed IAAP at Toyota’s annual “Women’s Conference” in Louisville October 22 and Lexington October 23.  Approximately 2,000 women attended each location and was able to ask questions and take IAAP information. A professional basket was raffled as an incentive to stop by the booth.

I submitted the 2007Avery Great Results Achievement Awards Application for the Kentucky Division in January and encouraged all Chapter Presidents to submit the Chapter application.

As IAAP chapters continue to think outside the box in their recruiting efforts, the Paducah-Kentucky Lake Chapter demonstrated this by hosting an “Open House” at the Western Baptist Heart Center in Paducah February 19th.  This new direction proved successful with 25 prospective members in attendance for light refreshments and presentations from Patrick Withrow, MD, Cardiologist and Medical Director of the heart center, and Keung Ung, MD, Cardiothoracic Surgeon.

March 31 – April 2, 2008 I joined other members from the Louisville, Blue Grass and Paducah-Kentucky Lake Chapters to participate in the grading of the 2008 Skill Standards Tests in coordination with the Kentucky Department of Education in Louisville.  There were 15,000 skill standards assessments mailed out in January to schools across the commonwealth.

In April I celebrated the 2008 Administrative Professionals Week with members of the Paducah-Kentucky Lake Chapter with the signing of the proclamation by Mayor Paxton at City Hall.  I also chaired the chapter’s annual “Office Professionals Night Out” event at Kentucky Dam Village Convention Center with approximately 134 people in attendance, which featured dinner, entertainment by the “Cruisers”, and door prizes.

April 22 I traveled to Lexington, Kentucky to attend the Blue Grass Chapter’s 8th Annual Administrative Professionals Banquet where the fifty in attendance enjoyed dinner, entertainment by a magician and a guest speaker.  May 5 I joined the Murray Chapter members in celebration of their Annual Executive Night Banquet at Murray State University.  Laura Dziekonski, Chapter President, with her theme of “Get Your Wheels Turning with IAAP” was the inspiration for the evening’s program of “Reflections - Past, Present, and Future”.  The chapter closed the program with announcement of chapter scholarship recipient.

May 6 – 7, 2008 I served as a judge for three speech competitions at the State Future Business Leaders of America (FBLA) Conference in Louisville, KY.  The State FBLA Board of Directors voted to name the Kentucky Division of IAAP an Honorary Member during their 2008 conference. It was a thrill during the General Assembly on May 6 for Gail King CPS and I to accept the award on behalf of the division.

June 6-7, 2008, the 56th  Kentucky Division Annual Meeting will be held in Paducah.  I look forward to seeing Sandra P. Chandler CPS, International Vice President, as well as, all the Kentucky Division members at this fun-filled, networking and educational conference.

I attended the Winter Board meeting held on April 11-12 in Elizabethtown, Kentucky.  I presented a report on the Incoming Division President’s Conference and the new recognition program “Pathways to Excellence”.

A new division roster will be included in the binders I have developed as Incoming President.  These will be distributed tomorrow morning.

As Kentucky Division Vice President, I attended the Fall and Winter Board Meetings, Leadership Training in July, and plan to attend Annual Meeting in Paducah, Kentucky in June 2008.

Duties performed by the Kentucky Division Vice President pertained primarily to the duties of the ByLaws and Standing Rules Committee. Proposed edits to the ByLaws were ratified by e-mail vote of the Kentucky Division Board of Directors on July 20, 2007, with 11 votes affirmative, 0 votes negative, and 1 not voting. Current Division Bylaws and Standing Rules were reviewed with the committee by e-mail and one Proposed Amendment was distributed at Winter Board Meeting in April. Subsequent proposed amendments received after Winter Board were reviewed by the Committee by e-mail, and seven proposed amendments to the ByLaws and one proposed amendment to the Standing Rules will be presented at Ky Division Annual Meeting in  Paducah in June. The proposed amendment circulated at Winter Board will require a 2/3 vote for adoption. The remaining proposed amendments will require a 4/5 vote for adoption since they were not received prior to the March 1 deadline. The proposed amendment to the standing rule will require a 2/3 vote for approval.

I would like to express my thanks to Jo Stratton CPS, PRP, and Laura Dziekonski for serving on the ByLaws and Standing Rules Committee. Their input and knowledge were invaluable sources.
    

It has been a privilege to serve the Kentucky Division as Vice President during the past year. It has been a learning experience and the benefits have been many.

The Winter Membership Forum and Board Meeting was held at the Fairfield Inn By Marriott in Elizabethtown, Kentucky on Saturday April 12, 2008. President Debbie Hooper CPS called the meeting to order at 8:08 am.

President Hooper reported that the agenda was distributed via the web site for printing.

 

Laura Dziekonski moved the adoption of the agenda as presented. The motion was seconded and approved.

ADOPTION OF AGENDA

Minutes of the Fall Board Meeting held October 20, 2007 were distributed via the web site to the board prior to this meeting. Reading of the minutes was waived. The minutes were approved as corrected.

APPROVAL OF MINUTES

PRESIDENT- President Debbie Hooper CPS stated that the Winter Board had to be rescheduled due to weather. A vote  was presented to the board via email and phone to change the date to April 12, 2008. The motion was approved. She also stated that she had participated in the monthly Southeast District conference calls with Tamra Goodall CPS/CAP, Southeast District Director. President Hooper also lead a discussion regarding recent events at International. Buffy Gaddis CPS/CAP made a motion to rescind sending a letter to International voicing our feelings regarding the actions of the International Board. The motion was seconded. The vote was in the affirmative that we rescind sending the letter.

REPORT OF OFFICERS

PRESIDENT ELECT - Mary Beth Shera CAP reported that the Roster has been updated. If there are any corrections, please email them to her. She also suggested that everyone check their profile on the International web site for any corrections that may be needed.

VICE PRESIDENT - Wanda Hart CPS/CAP reviewed the proposed amendments that will be presented to the Division membership at the Annual Meeting in June.

SECRETARY - Joyce Jewell CPS had no report.

TREASURER - Jean Stegmann CPS - According to the March 31, 2008 Statement of Condition the total member equity is $18,446.58. As of 3/31/08 we have 234 members. We have 17 members registered for Winter Board.

Written reports from chapter presidents were provided on the Kentucky Division Web site prior to the meeting. Presidents and/or chapter representatives in attendance presented a two-minute report with Bernida Belcher serving as the official timekeeper. Reports were presented from the Hopkinsville, Louisville, Murray, Northern Kentucky and the Paducah-KY Lake chapters.

REPORT OF CHAPTER PRESIDENTS

Sheila Shields CPS-Certification & Education Committee Chair reported that 17 registered for the Strategic Planning Workshop today and 3 recertification points will be awarded.

 

She also mentioned that she had sent out the Education Form to all Chapter Presidents with the deadline to return to her being May 15, 2008.

 

She asked that all Chapter Presidents to please notify either Sheila or Debbie if someone in their chapter has earned their CPS/CAP certification and recertification this year, so that they can be recognized at the 2008 Annual Meeting.

 

Joan Cooper - Member of the Nomination Committee reported that there was still a need for someone to fill the Treasurer position.

 

Jean Stegmann CPS - of the Wilma Yeary Award presented the instructions/guidelines for the Wilma Yeary Award. The vote was to accept the guidelines for this award. Deadline for applications is May 1, 2008.

REPORT OF STANDING COMMITTEES

Debbie Hooper CPS - gave a report on the Administrative Skills Task Force. There were 15 IAAP members who graded 7,000 tests. There are no  results as of this meeting.

REPORT OF SPECIAL COMMITTEES

Alice Schultz CPS - Chair of the Marketing committee noted that she had attended the Toyota "In The Interest of Women" conference in Lexington.

 

Jacky Ammerman CAP - Webmaster was not present, but was commended on her work on the division web site. 

 

Jean Stegmann CPS - presented the budget for the 2008 Annual Meeting. The budget was voted upon and approved.

There was no unfinished business to discuss.

UNFINISHED BUSINESS

A motion was made to send Mary Beth Shera CAP, President Elect, as Delegate and Wanda Hart CPS/CAP, Vice President, as Alternate and that their registration be reimbursed at 100% and that the transportation, lodging based on double occupancy, and meal expenses be reimbursed, but not to exceed $1700 each, dependent upon the availability of funds.  The motion was seconded and approved.

 

Joyce Jewell CPS - 2009 Annual Meeting Coordinator noted that the committee was still working on procuring a site for the meeting and that cost and educational opportunities was at the forefront of the decision. The meeting will be held in Lexington, KY.

NEW BUSINESS

Bernida Belcher served as the official time keeper. There were two votes to have an  additional five minutes were allowed to continue the Good of the Order.

The Hopkinsville Chapter is very excited to report the addition of four new members recruited during this year, which puts the Chapter at a net gain of two for the year. I am very proud to report that our members truly lived up to this year’s theme, which was "On the Road to Success."

 

The Hopkinsville Chapter has been very active this year striving to market IAAP to local businesses in our community. As members of the Hopkinsville Chamber of Commerce, several members attended the monthly Business After Hours events held at various local businesses.

 

The Hopkinsville Chapter held an exceptionally successful Impact meeting in September. Members and guests were truly informed about IAAP and the vast benefits the organization offers to its members.

 

The Community Service Committee has kept us busy this year collecting school items for the Pennyroyal Center's Therapeutic Foster Care Program, Bell Ringing fundraiser sponsored by the Salvation Army in December, the third Annual NAMI Walks in Hopkinsville and Relay for Life.

 

Our Ways & Means Committee fundraiser's for this year included: selling Butter Braids/Cookie Dough, jar candle sales, hosting our annual Christmas Auction to raise funds for The Dean Boggess Scholarship Fund, as well as continued sales of "Dignity and Poise" prints and note cards and Pampered Chef cookbooks. 

 

The Program Committee worked very hard to bring some informative and educational programs to our members and guests. Topics included: Fire Safety, Retirement Trust Foundation, Setting Goals, Team Building, and Public Speaking.

 

We had several members who were able to attend the Kentucky Division Fall and Winter Board meetings. We will have two members attend the International Convention in New Orleans in July.

Theme - Shift Into Action

 

The Louisville Chapter has had a busy year.

 

Education - Throughout the year we have had programs on image (recognizing our assets & camouflaging our faults); working as a team with your manager; business etiquette; effects of stress on your health and how to handle stress; and advice on personal finances. Recertification points were offered with most of the programs.

 

Professional Development - We held our APW event on Thursday, April 24, at the Executive West Hotel. A half-day seminar with 38 attendees was offered by Shari Peace speaking on how to unleash your potential and how to set & achieve terrific, interesting goals. There were 50 attendees who heard our luncheon speaker, Melvin L. Turner, Sr. talk on successful living in the millennium. Both speakers were well received. We also had a vendor mart with six vendors. 

 

Membership - The Louisville Chapter has had an outstanding year in membership growth! This is due to the efforts of our members in sharing with their co-workers the benefits of membership in IAAP and the Louisville Chapter.

 

Our IMPACT meeting was held in February with the Powerpoint CPS/CAP Challenge using sample test questions from the web site. The meeting was very well attended by 25, 14 of whom were guests! We can directly attribute four new members to the IMPACT meeting through attendance and join date; however, there are five others that joined through referrals of attendees.

 

In total we have brought in 23 new members this year, with a net gain of 7.

 

Certification - Five members received their CAP certifications and we continue to hold certification review courses headed up by Donna Brown CPS/CAP. We also had one member sit for the CPS exam in November. The exam has been proctored by Penny Weller CPS.

 

Civic & Community Service - The chapter participated in the 10th Anniversary of Making Strides Against Breast Cancer Walk (3.2 miles) on Sunday, October 28, and raised a total of $500 in donations for the American Cancer Society.

 

Scholarship - We received 32 applications for the two $500 scholarships to be awarded this year.  Approximately 80% of the applications met the established criteria and the decisions were not easy to make. The Lois D. Knapp CPS & Nettie Alice Green Scholarship Awards will be presented at our Annual Meeting June 12.

 

Ways & Means - The Ways & Means Committee worked on a number of projects this year. In October we took a bus trip to Brown County for a day of shopping. In May  drawings were held for two laundry baskets of lawn & garden equipment. The next and final event is a bunco party on Saturday, June 14.

 

Strategic Plan - The chapter’s Strategic Plan has been reviewed and recommendations will be given to the board of directors and membership at the upcoming June meetings.

Theme - Get Your Wheels Turning With IAAP


The Murray Chapter held their 37th Annual Executive Night Banquet on May 5, 2008. Four Charter members were in attendance and recognized for their continued support. Debbie Hooper CPS joined us and updated the chapter on the 'state of the division'. A rose was given to each member, past and current. Jennifer Dixon, student member, was awarded the Memorial Scholarship. She received her Associates Degree on May 10th and is continuing to work toward her Bachelor of Science Degree in Business at Mid-Continent University. We donated supplies to "Needline" and aluminum cans to "WATCH"; both organizations give assistance to citizens in our community. Members sold ads for the annual Tabloid insert printed in the Murray Ledger & Times celebrating Administrative Professionals Week to benefit our scholarship fund. Kay Hays CAP received the award for selling the most ads. Several members joined the Mayor and Judge Executive for the proclamation signing for a photo that was published in the Tabloid.

Administrative Support Skills Task Force

The Administrative Support Skills Task Force committee members met in the Fall 2007 to update and revise the Administrative Skills Test with members of the Kentucky Department of Education. The hands-on performance test was updated and revised as needed.

 

The 2007 test results were reviewed and analyzed. It was noted that 43% of the students passed certification for 2007. The 2008 test was changed to include a Database Performance Test. This hands-on performance module has not been used in several years; it replaced the Spreadsheet module Performance Test. This year over 1500 students completed the written and hands- on performance tests with 31% completing certification. The Database Performance Test was definitely a challenge for the participants this year.

 

On May 6, the Kentucky Future Business Leaders Association (FBLA) recognized the Kentucky Division for 14 years of dedicated service to the grading of performance packages from FBLA chapters. These tests cover Microsoft products, such as Microsoft Office, Name Tags, Newsletters, Spreadsheets, Database, and business documents. Debbie Hooper CPS, Ky Division President and Gail King CPS, Louisville Chapter, were presented with a beautifully framed plaque in recognition for the IAAP's support..

We embraced our president's theme "Jump Start Your Career" by calling ourselves the Pit Crew. We presented at the July leadership conference. We delivered some "state of the division" statistics and discussed recruitment and retention tools (monthly reports, business cards, newsletters, HQ web site). All those present were in an incentive drawing for a $25 gift certificate to a restaurant in E-town, the location of the Fall Board meeting. Shortly thereafter we forwarded information to be included on the membership page of the Kentucky division web site.

 

Our retention efforts included a survey of the membership via the Survey Monkey. Results of the survey were forwarded to the division’s president. We also used the Survey Monkey to conduct an exit survey  with those who did not renew their division membership but there was a very low response. We also periodically contacted chapter presidents to discuss the results of the monthly reports and to offer encouragement and support in their retention efforts. In conjunction with the division's MAL Liaison, we periodically contacted the division's members-at-large to keep them in the loop. We emailed or U.S. mailed information about the division's annual meeting to all the division MALs. We included those division MALs who dropped their membership during the year and included a reinstatement form. All division members who renewed their membership were sent a thank you note.

 

Our recruitment efforts included collaboration with the marketing committee and the Bluegrass and Louisville chapters to participate in the Toyota's In the Interest of Women conference held in Louisville and Lexington. At the conference we had available chapter brochures from those who provided them for distribution to attendees (this event attracts people from across the state). The membership committee followed up with those who requested additional information from the Louisville conference. We assisted the president of the Indiana Division in her pursuit to start a Southern Indiana chapter. When received, we forwarded contact information on new SED MALs to the chapter president closest to their location. We also mailed information about the division's annual meeting to all SED MALs along with a transfer form. During APW we mailed information about IAAP and the CPS/CAP certifications to KCTCS schools across the state. We are currently in the process of following up with them.  We periodically offered support and encouragement to chapter presidents in their retention efforts.

 

As a follow-up to the efforts made by last year's membership committee, we officially have begun efforts to build a new chapter in Shelbyville. We contacted both division and SED MALs in and around the Shelbyville area but to date have been unable to form a new chapter building committee. Efforts will continue through the Summer in hopes next year’s membership committee can continue in this process.

 

The committee has an overabundance of IAAP brochures which will be available for distribution to chapters at the annual meeting. It has been a pleasure working with the division offers, chapters, MAL Liaison and other committees.

IAAP Kentucky Division Annual Meeting ~ Joint Board Meeting
Saturday, June 8, 2008

Newly installed Kentucky Division President, Mary Beth Shera CAP, called the meeting to order at approximately 7:30 a.m. An invocation was provided by Wanda Hart CPS/CAP, KY Division President Elect. Wilma Yeary CPS/FLMI, shared an inspirational reading with attendees.

Cristy Poindexter, Secretary, performed the roll call and quorum check.

Minutes from the Winter Membership Forum and Board Meeting were approved as distributed.

Officers were instructed to review the information that had been provided by President Mary Beth Shera CAP:

Updated Division Bylaws will be provided before the Division Leadership Conference scheduled in August.

Wanda Hart CPS/CAP, President Elect, advised that she will provide future revisions of the roster and editions of Skylines newsletter. The newsletter will be mailed via USPS to division members who do not have email addresses. Those with email addresses will receive an electronic copy via link by email (Skylines will continue to be posted on the web site).

Jacky Ammerman CAP, Vice President, provided a reading of the proposed amendments to the International Bylaws.

Laura Dziekonski, Treasurer, moved that Kentucky Division checking account funds will be transferred to the Muray Bank in Murray, Kentucky, and the Kemper Money Market account remains with Hilliard, Lyons in Louisville, Kentucky. Motion passed.

In accordance with Division Bylaws, Article III, Section 5.E.3, the Finance Committee must present a proposed budget to the Board for it's approval. Officers/committee chairs should email the Budget Worksheet (provided in information packet) to Laura Dziekonski, Treasurer, by July 30, 2008, for any funds that you wish to request. The budget meeting will be held on Friday, August 22, 2008, in Frankfort, Kentucky, prior to the Leadership Conference (8/23/08).

Jean Stegmann CPS, 2008 Annual Meeting Coordinator, provided a summary of the Annual Meeting coordination.

2008-2009 Committee Chairmen were announced by President Mary Beth Shera CAP and were approved as submitted.

Future meeting dates/locations were approved as submitted.

Announcements:

Mary Beth Shera CAP, Kentucky Division President, had to depart Paducah to attend her son's high school graduation in Frankfort. Upon her departure, she turned the meeting over to Wanda Hart CPS/CAP, President Elect. Good of the Order was initiated.

Wanda Hart CPS/CAP, President Elect again extended our appreciation to Jean Stegmann CPS, Annual Meeting Coordinator, and to the members of the Paducah-Kentucky Lake Chapter for their hospitality which alowed each of us to enjoy the entire weekend.
